Primary Purpose

This position is responsible for providing strategic support to the Associate Dean, International, through operational and administrative management and by supporting the ongoing development of the international portfolio in the Faculty of Engineering.  The Assistant to the Associate Dean, International, plays a key role in providing effective logistical and project support for a variety of initiatives related to internationalization.

Position Requirements

Education:

Bachelor’s degree and/or equivalent education and experience.

Experience:

Several years of experience in a project management or senior administrative role, preferably in an academic or student oriented environment.  Excellent working knowledge of university policies and procedures, particularly related to exchange programs and international agreements.  Excellent written and oral communication skills, attention to detail and ability to provide support for presentations.  

Experience building relationships with a variety of stakeholders and balancing conflicting demands and priorities.  Excellent problem solving skills, good judgment and the ability to handle confidential and sensitive information with discretion.  Demonstrated ability to work collaboratively, take initiative, and work with minimal supervision to  undertake a wide range of administrative duties.  Excellent organizational and analytical skills. Proven ability to succeed in a flexible and detail-oriented environment.

Nature and Scope

Interpersonal Skills:

This position interacts regularly with the offices of the Associate Deans for Co-operative Education & Professional Affairs, Graduate Studies, Undergraduate Studies, and Research & External Partnerships, as well as all academic and support units in the Faculty of Engineering.  In addition, the incumbent will work closely with the Registrar’s Office, Graduate Studies Office, Waterloo International, Human Resources, and Finance. 

 

The Assistant to the Associate Dean, International, is responsible for developing and maintaining excellent working relationships with all these areas to fulfill the primary purpose of the position.

Level of Responsibility:

 

Specialized work with minimal supervision and provides guidance to others.  Incumbent manages faculty-wide functions or processes that are specialized but has no direct reports.  Responsibility for oversight of co-op students, casual and temporary staff.     

Decision-Making Authority:

Makes decisions about the most effective methods for implementing all responsibilities as outlined including key administrative functions in the Office of the Associate Dean, International, and determines the optimal course of action to solve routine problems.

Physical and Sensory Demands:

Minimal demands typical of an administrative position within an office environment.

Working Environment:

Travel: Occasional travel may be required.

Working Hours: Regular working hours with occasional evening and weekend work required.
