Primary Purpose
The Library Associate, Service Desk & Collection Maintenance is responsible for managing all activities related to the service desk, circulation services and collection maintenance in the Musagetes Architecture Library in Cambridge. The incumbent works closely with parallel services offered at other campus Libraries
Key Accountabilities:
1. As a member of the Musagetes Architecture Library staff, the Library Associate, Service Desk & Collection Maintenance is an effective, collaborative, supportive team member by:
- Working closely with members of the Musagetes Architecture Library as well as other library staff responsible for circulation and collections maintenance duties on campus
- Reviewing, developing, and implementing recommendations for service delivery and collection management
- In close collaboration with the Architecture Librarian, communicating effectively with the School of Architecture colleagues to enhance relationship and to ensure the continued operation of computers and related equipment as well as facilities maintenance in Musagetes
- Recommending improvements to area workflows as appropriate
- Providing information services to users by analyzing and interpreting clients’ queries and helping them locate and use library resources
- Sharing in the continuous evaluation, problem solving, and planning assessment activities
- Participating in reviews and working groups as appropriate within the School and on main campus.
2. Day-to-day management of the Service Desk and circulation services at the Musagetes Architecture Library by:
- Coordinating daily Desk activities and providing functional direction to all Musagetes Architecture Library staff for ongoing circulation tasks
- Serving as a knowledgeable TRELLIS circulation resource person to library clients and other staff in the Musagetes Library by:
- Providing TRELLIS and desk training for new casual, contract, or full-time staff
- Updating awareness and knowledge of specialized software packages to manage circulation, course reserves, staff scheduling and to produce reports for the management of Musagetes operations
- Developing and modifying desk procedures documentation
- Processing materials for interlibrary lending through the TriUniversity Group of Libraries book and article retrieval service (TUGBARS) and the provincial network (RACER)
- Handling and resolving fines issues, including tracking problem patrons and placing Service Indicators in Quest accounts as necessary
- Processing course-related and other materials for the reserves collection and compiling usage statistics; communicating with other library staff on reserves-related issues; maintaining a firm understanding of copyright issues and communicating with faculty to ensure that copyright guidelines are understood and followed
- Providing scheduled circulation service and basic information service at the branch’s Service Desk
- Attends main campus circulation meetings
3. Maintenance of the financial activities related to the facilities and service provision:
- Manages day-to-day operating budgets assigned to Musagetes, including part-time payroll, supplies, and reporting/reconciling of various budgets
- Responsible for the fiscal year-end reconciliation, cash float, bank deposit and allocation of funds generated at the service desk to appropriate accounts
- Responsible for the library fines report and account reconciliation
- Continually updates awareness and knowledge of specialized software packages to financial data and produces reports for the management of Musagetes operations
4. Maintenance of the physical collection through the implementation of collections maintenance, materials preservation, and security function activities, including:
- Oversees yearly inventory and develops data reports as needed, including COGNOS reports
- Develops and implements collection maintenance projects
- Develops collections statistics as needed to support collection projects
- Processes new materials appropriately
- Ensures searching for missing items occurs in a timely manner
- Oversees the preparation of materials for binding
5. As the supervisor for service desk staff:
- Maintains knowledge of TUG lending policy and ensures its application in Musagetes Library
- Recruits, trains, schedules and supervises co-op student(s) and casual staff for service desk duties, in consultation with the Architecture Librarian
- Coaches, trains and develops employee(s)
- Assess performance and handle associated issues
- Liaises with main campus Library staff to ensure consistency in service desk training and service provision
6. Performing specified backup duties for the Library Associate, Information Services & Resources, responsible for Geospatial Services & Communications, as needed, including
- Providing library tours
- Creating informational materials
- Maintaining web presence
- Providing access to GIS data
Position Requirements
Education:
Undergraduate degree or equivalent in education/experience.

Special requirements or conditions:
- Moderate lifting and carrying of library materials is required.
- For most of the academic year, the working day starts and ends later than a typical working day. This position covers evening hours. Summer term will require adjustment to hours. Some additional required adjustments to cover for absenteeism and statutory holidays.
- May be on call on weekends as needed

Nature and Scope
Interpersonal Skills:
Excellent interpersonal, organizational and communication skills with a commitment to high-quality customer service are required. An ability to work independently and in a team environment is essential. The position communicates with all other Musagetes staff, and will have significant communication with others sharing the same responsibilities in the main campus Libraries and affiliated libraries of the University of Waterloo. The position communicates with School of Architecture faculty, administration, students, and the public.
Level of Responsibility:
The position is responsible for the management of service desk staff members, day to day operating, budget monitoring, the monitoring and refining of circulation processes and procedures in consultation with main campus library and participates in decision making within the Musagetes Library.
Decision-Making Authority:
Responsible for the smooth operations of the service desk and the customer service provided by the desk staff. Responsible for collection maintenance operations.
Physical and Sensory Demands:
This position requires attention to detail, and the ability to work with multiple daily distractions and interruptions. It also involves the lifting and carrying of books.
Working Environment:
The position is primarily office based. Exposure to disagreeable conditions typical of a public-facing supervisory position such as upset patrons or staff complaints is minimal.
