Primary Purpose
Responsible for managing all activities related to circulation services within the WLRC.
Key Accountabilities:
1.Responsible for day to day management of circulation activities
- Works closely with Librarian on administrative and facility related issues
- Oversees Library Clerk and Casual Staff activities at the circulation desk
- Coordinates daily circulation activities and provides functional direction to all WLRC staff for ongoing circulation tasks.
- Communicates with Library Circulation Services Managers from other University of Waterloo Library sites
- Develops or modifies circulation procedures including documentation.
- Works with School administration to adjust procedures related to drug and equipment access
- Handles decisions about specialized processing of unique WLRC resources such as lab equipment and drugs
- Creates cataloguing records for unique WLRC resources
- Processes interlibrary loan and TUGdoc requests.
- Participates in the testing, analysis, problem solving, and decision making associated with use and enhancement to library related software such as the circulation modules in TRELLIS and ARES, including representing the WLRC on UW and TUG related circulation committees.
- Continually updates awareness and knowledge of specialized software packages to manage circulation, course reserves, staff scheduling and produce reports for the management of WLRC operations
- Develops and maintains patron and usage stats as needed to provide data for future policy decisions
- Manages fines for the WLRC
- Creates and manages patron files for the WLRC
2.Responsible for the intake and processing of reserves and e-reserves
- Work with instructors as a resource person for course reserve questions and requests including copyright related issues
- Proces, monitor and manage all items needed for the print reserve collection
- Using library resources including Scholars portal and Verde to assess e-reserve requests for copyright
- Seek copyright licencing using resources such as RightsLink, CCC or researching and contacting copyright holders directly
- Purchasing, processing and managing e-reserves as available including allocating purchases to library accounts and library notification.
3.Responsible for implementation of collection maintenance activities
- Monitors condition of collection and ensures resources are repaired
- Oversees binding of print journals
- Oversees yearly inventory and develops data reports as needed
- Develops collections stats as needed to support collection projects
- Processes Gifts in Kind
4.Responsible for Staffing of Circulation desk and staff support
- Recruits, trains, schedules and supervises Library Clerk and all casual staff for circulation desk duties
- Ensures casual staff meets or exceeds UW and UW library required training such as AODA standards training and WHMIS training
- Trains and manages WLRC staff for selected collection maintenance tasks such as shelving, searching for missing items, and shelf reading
- Addresses poor performance, attitudinal problems, termination and other employee issues with casual staff and Library Clerk
- Completes Annual Performance Review process with Library Clerk
- Works with the admin office to facilitate TA evening supervisors.
- Develops and maintains user stats within the academic calendar to assist in decision making for the implementation of the TA program.
- On call evenings and weekends for casual staff support
- Responsible for WLRC key control
5.Responsible for library casual staff, supplies and facilities budget
- Manages day to day operating budgets assigned to WLRC, including part-time payroll, supplies, and reporting/reconciling of various budgets.
- Assists the librarian to prepare annual budget requests.
- Ensure e-reserves copyright requests and payments are completed and logged
- Responsible for the fiscal year-end reconciliation, cash float , bank deposit and allocation of funds generated at the circulation desk to appropriate UW library and WLRC accounts
- Responsible for the library fines report and account reconciliation
- Reconciles COETF grant account
- Initiates, submits and monitors work orders for plant ops and handles procurement requests.
- Continually updates awareness and knowledge of specialized software packages to financial data and produce reports for the management of WLRC operations
6.Provides Information Services
- Provides information services to users by analyzing and interpreting clients’ queries and helping them locate and use library resources.
- Assists in library instruction activities including providing library tours and creating informational materials.
- Communicates with Optometry computing and other UW staff to ensure the continued operation of computers and related equipment and facilities in the WLRC.
- Ensures key Information Associate (IA) responsibilities are covered when IA away
7.Building access and security support
- Provides support to the admin office for building security and access including access to the podium and pre-clinic facilities
- Responsible for notification of building hours to UW security, facilities and plant ops and troubleshooting building access after hours
Position Requirements
Education:
Completion of post-secondary education or equivalent library and supervisory experience.
Experience:
3 years of progressive library experience with a proven track record of achievement and success within academic library. Experience circulation, interlibrary loan, course reserves, collection maintenance and some basic knowledge of cataloguing. Competencies will include strategic thinking, people management, interpersonal, organizational and communication skills.

Nature and Scope
Interpersonal Skills:
Excellent interpersonal, organizational and communication skills with a commitment to high-quality customer service are required. An ability to work independently and in a team environment is essential. Internally, the position communicates with all other WLRC staff, School of Optometry faculty, administration and clinical staff, students and the public. Externally, this position will have significant communication with others sharing the same responsibilities amongst the main, branch and affiliated libraries of the University of Waterloo.
Level of Responsibility:
The position is responsible for the management of 5-6 staff members, day to day operating, budget monitoring, the development of new circulation processes and procedures and participates in decision making within the WLRC.
Decision-Making Authority:
Responsible for the smooth operations of the circulation desk and the customer service provided by the circulation desk staff.
Physical and Sensory Demands:
This position works requires attention detail and the ability to work with multiple daily distractions and interruptions. It also involves the lifting and carrying of books and lab equipment.
Working Environment:
The position is primarily office based. Exposure to disagreeable conditions typical of a public-facing supervisory position such as upset patrons or staff complaints is minimal.
