General Accountability

This position is located in the Cataloguing Department and is accountable to the Supervisor: Holdings Maintenance and Inventory Control for cataloguing English language imprints received with vendor supplied Library of Congress bibliographic records. The position responsible for searching the Library of Congress database for acceptable bibliographic records for English language print monographs received from all sources. The position is also responsible for process added volumes and copies to recent monograph records.

Nature and Scope

This position reports to the Supervisor: Holdings Maintenance and Inventory Control. This position is currently shared by multiple incumbents.

 

The Cataloguing Department is responsible for the cataloguing of all new monographs, serials and rare books in a variety of formats, including print, electronic, cartographic, microform and audiovisual. The department receives approximately 20,000 printed monographs annually with vendor supplied Library of Congress bibliographic records for 30% of the total. For all new English language print monographs received without Library of Congress vendor supplied records, the Library Clerk: Derived Cataloguing searches the Library of Congress database for bibliographic records. The incumbent completes the cataloguing of items with records containing full subject analysis and classification whether vendor supplied or retrieved from the Library of Congress database. Items for which no Library of Congress records or incomplete records are found are allocated to the Cataloguing inventory for distribution to the Library Associates, Cataloguing and Information Service.

 

The Library Clerk: Derived Cataloguing verifies name. series, and subject added entries against the authority records in the Trellis database and updates name. series, and subject entries in records as prescribed by recent Library of Congress or University of Waterloo authority updates. She/he also ensures that descriptive elements are complete and correct (i.e. title, imprint, physical description, etc.), updating records to match the book in hand as required. For those items which are also available electronically, URL's are verified and additional holdings records are added to link to the electronic resource from the library's catalogue.

 

During the authority validation process, the Library Clerk: Derived Cataloguing updates series authority records with established University of Waterloo treatment and classification practices. She/he may also update literary author name authority records with University of Waterloo classification practice.

 

The Library Clerk: Derived Cataloguing also reviews lists of URL's for outdated or inactive web links to electronic resources in the TRELLIS catalogue. She/he searches to find new links for the items and updates the catalogue as appropriate. The incumbent also processes added volumes and copies to recent monograph records, updating the bibliographic record if necessary and adding holding and/or item records. The incumbent may also be called upon to assist with other holdings maintenance activities.
